Aquitaine Fitness Party 2027

Any reservation implies unreserved acceptance of these General Terms and Conditions of Sale.

Version in effect as of 08/09/2026.

Article 1 — Purpose

These General Terms and Conditions of Sale govern booking and participation in the sporting event. Aquitaine Fitness Party, hereinafter referred to as "the Event", in its 2027 edition.

These terms and conditions apply to all bookings made on the website aquitainefitnessparty.fr, to the exclusion of any other conditions.

Article 2 — Organizer

The event is organized by the company FITNESS BORDELAIS, limited liability company with a capital of 42,000 euros, whose registered office is located at 16 avenue de Terrefort, 33520 Bruges, registered with the Trade and Companies Register of Bordeaux under SIRET number 87795420600026, represented by its manager Mr. Mathieu Pelletier.

Hereinafter referred to as "the Organizer".

Article 3 — The Event

3.1 The Event takes place from 06/05/2027 to 09/05/2027 at Domaine de Bombannes, 33121 Carcans-Maubuisson.

3.2 The Event's capacity is limited to 1,000 participants, This applies to all packages. Reservations close as soon as this capacity is reached.

3.3 The detailed program, course schedule and list of speakers are published on the Event website. They are provided for informational purposes only and may change under the conditions set out in Article 15.

Article 4 — Formulas and passes

4.1 The formulas

  • NATURE — Accommodation in a campsite, at the Wellness Sport Camp or at Camping Huttopia, without meals. Booking for the four days of the Event.
  • ENJOY — Accommodation in a residence, at the UCPA Nautical Village or the Cévéo Holiday Village, meals included. Booking for the four days of the Event.
  • DAY PASS — without accommodation or meals, for a period of one to four days of your choice.

 

Themed evenings and Saturday night dinner are included in the NATURE and ENJOY packages. They are available as optional extras, subject to availability, for the DAY PASS package.

4.2 The passes

  • AFP PASS — unlimited access to courses, from age 18.
  • SPORTS PASS — access to outdoor activities supervised by the Organizer (bike touring, kayaking, tree climbing, beach volleyball and pétanque tournaments, beach games and similar activities), from 18 years old. This pass does not grant access to the courses.
  • TEEN PASS — unlimited access to courses, reserved for participants aged 13 to 17 years inclusive on the first day of the Event.
  • PASS KID — access to the children's club, reserved for participants aged 4 to 12 years inclusive on the first day of the Event, in NATURE package exclusively.

 

4.3 Several passes of different types can coexist within the same reservation and the same accommodation.

 

Article 5 — Minor Participants

5.1 Minor participants holding a TEEN PASS or a KID PASS may not participate in the Event alone. The presence of an adult registered for the Event and designated as an accompanying adult is mandatory for the entire duration of the stay.

5.2 Written authorization from the holder(s) of parental authority is required for each minor participant. This authorization must name the accompanying adult, provide contact information for the legal representative to be reached at any time, and constitute permission to participate in the Event's activities.

5.3 The accompanying adult assumes responsibility for the supervision of the minor for the entire duration of the stay, outside of the supervised activity slots for which the minor is registered.

5.4 The Organizer reserves the right to refuse access to the Event to any minor participant for whom the authorization provided for in 5.2 has not been provided, without this situation giving rise to a right to reimbursement.

 

Article 6 — Reservation

6.1 All bookings are made exclusively online, via the official form on the Event website.

6.2 Two booking methods are available, at the participant's choice.

  1. a) Booking covering several participants. The same person, hereinafter referred to as "the Booker," adds as many places to their order as there are participants and pays for all those they designate. The Booker is not necessarily a participant themselves. They declare that they are authorized to act on their behalf, guarantee that each participant will comply with these conditions, and is solely responsible for the total price of the order as well as the Organizer's sole point of contact for payment. Participants in the same order are accommodated together, subject to availability.
  2. b) Individual booking. Each adult participant books in their own name and pays for their own single place.

 

6.3 A minor participant cannot book themselves. Their place is booked by the accompanying adult as defined in Article 5.

6.4 The Booker who communicates the personal data of other participants undertakes to have previously informed them of this transmission and of the processing described in the privacy policy.

6.5 Participants wishing to share accommodation with others should indicate this at the time of booking, in the designated field, specifying the full names of the individuals concerned. The Organizer will endeavor to accommodate this request within the limits of capacity and availability. This request does not constitute a guarantee of allocation.

6.6 The Organizer allocates accommodations based on availability, expressed requests, and the composition of bookings. Participants who have not mutually selected each other may be grouped together in the same accommodation.

6.7 The reservation is firm and final upon receipt by the Organizer of the deposit provided for in article 8. Before this receipt, it is registered but does not guarantee either the place or the price.

 

Article 7 — Price

7.1 Prices are expressed in euros inclusive of all taxes and are per participant, unless otherwise stated.

7.2 The applicable prices are those displayed on the website on the day the reservation is registered.

7.3 Early bird price. A preferential rate applies to bookings made between 6:00 PM on September 13, 2026 and 11:59 PM on September 27, 2026, subject to receipt of the corresponding deposit within seven days of booking. If the deposit is not received within this timeframe, the standard rate will apply.

7.4 The price includes the services described in Article 4 according to the chosen package and pass. It does not include transportation to the Event venue, personal expenses, or optional services not selected.

7.5 The price includes the tourist tax.

 

Article 8 — Payment Terms

8.1 Payment is made exclusively by bank transfer. No online payment by credit card is offered. The Organizer's bank details are provided to the Booker by email after their booking is complete.

8.2 The Reserving Party chooses between:

  • THE full payment, upon booking; ;
  • THE installment payment, including a deposit of 25 % of the total amount upon reservation, then the balance divided into three equal installments, due on the 10th of each of the following three months.

 

8.3 Installment payment is not available for the PASS DAY formula, payable in one lump sum.

8.4 After 01/01/27, only full payment is possible, the payment schedule cannot continue before the Event.

8.5 The sums paid constitute a deposit in the sense of article 1590 of the Civil Code, and not of a deposit: they firmly bind both parties, without the possibility of withdrawal.

8.6 Default on payment. If payment is not received by its due date, the Organizer will send a reminder by email. If payment is not received within fifteen days of this reminder, the reservation may be automatically cancelled. Any sums already paid will then be retained by the Organizer up to the amount due according to the scale in Article 11, with any excess being refunded.

 

Article 9 — No right of withdrawal

In accordance with Article L.221-28, 12° of the Consumer Code, the right of withdrawal cannot be exercised for contracts for leisure services to be provided on a specific date or at specific intervals.

The event takes place on specific dates, The participant has no right of withdrawal. from the date of booking. Cancellation conditions are those stipulated in article 11.

 

Article 10 — Modification and transfer of the reservation

10.1 Form and deadline

Any request for modification or transfer must be notified in writing to the Organizer, at the address mathieu@aquitainefitnessparty.fr, as soon as possible and no later than fifteen days before the first day of the Event.

No application received after this deadline can be considered, except with the express agreement of the Organizer.

10.2 Modifications increasing the reservation amount

Adding a participant, an extra night, an option, or upgrading to a higher accommodation category is possible subject to availability. These additions will incur an additional charge, payable within seven days of the Organizer's approval.

10.3 Modifications reducing the reservation amount

Reducing the number of days in the DAY PASS package, downgrading to a lower accommodation category, or removing a participant from a multiple booking constitutes a partial cancellation. They are subject to the scale in Article 11, applied to the relevant portion, and do not entitle the customer to an automatic refund of the difference. Modification fees will apply.

10.4 Changes without tariff impact

Changing a name, correcting information or exchanging accommodations of the same category are accepted subject to availability, free of charge.

10.5 Transfer of reservation

A participant who cannot attend the Event may transfer their place to a third party meeting the same participation requirements, without having to justify their request and without charge, up to fifteen days before the first day of the Event.

The transfer is notified in writing to the Organizer, with the full identity and contact details of the transferee, as well as the latter's agreement.

The financial settlement of the transfer is exclusively a matter between the transferor and the transferee. The Organizer will not issue any refunds, collect any additional funds, or make any distributions in this regard. The transferor and the transferee remain jointly and severally liable for payment of any outstanding balance.

The transfer relates solely to the space transferred. It does not entail any right to maintain the grouping requested under Article

6.5. When the transferred place is part of a multiple reservation, the transfer is notified by the Reserver.

 

Article 11 — Cancellation by the participant

11.1 Any cancellation must be notified in writing to the Organizer at mathieu@aquitainefitnessparty.fr. The date of receipt of this notification determines the applicable policy.

In the first case, sums paid beyond the deposit are refunded within thirty days, or converted into a credit valid for the next edition of the Event, at the participant's choice.

11.3 This scale applies regardless of the reason for cancellation, including medical reasons, unless expressly agreed otherwise by the Organizer. Participants who are unable to attend the Event retain the right to transfer their place in accordance with the conditions of Article 10.5.

11.4 In case of booking for several people, The cancellation notified by the Booker applies to their entire order, for all participants it covers. A partial cancellation falls under article 10.3.

11.5 In the case of individual bookings, The cancellation of one participant has no effect on the reservations of the others, including when a grouping has been requested under article 6.5. The Organizer reserves the right to reassign the participants concerned.

 

Article 12 — Insurance

12.1 The Organizer does not offer or sell any cancellation insurance.

12.2 Each participant retains the option of purchasing individual cancellation insurance from the insurer of their choice to cover the sums paid. Participants should be aware that most insurers impose a short timeframe for purchasing insurance after the booking or first payment, and that insurance linked to a bank card does not apply to bookings paid for by bank transfer. Participants are responsible for checking with their insurer or bank for further information.

12.3 The Organizer does not intervene in any capacity in the relationship between the participant and his insurer, and cannot be held responsible for a refusal of coverage.

12.4 Each participant must be covered by a valid individual civil liability insurance policy. 

 

Article 13 — Physical fitness and health

13.1 Each participant declares that they are fit to participate in the proposed physical and sporting activities, and assumes full responsibility for their state of health.

13.2 It is up to each participant to adapt their practice to their abilities and to report any difficulties encountered to the supervisors.

13.3 The participant must inform the Organizer, at the time of booking, of any contraindications, allergies, or dietary restrictions that are necessary for the smooth running of their stay. This information is processed in accordance with the privacy policy.

 

Article 14 — Responsibility, rules of conduct and exclusion

14.1 The activities of the PASS SPORT are supervised by the Organizer.

14.2 The Organizer cannot be held liable for accidents, damages, losses or thefts occurring during the Event, except in cases of proven fault on its part. This limitation does not apply to personal injury or gross negligence or willful misconduct.

14.3 Each participant agrees to respect the safety instructions, the internal regulations of the accommodation sites and of the Domaine de Bombannes, as well as the peace and quiet of other participants and local residents.

14.4 The Organizer may exclude from the Event, without refund or compensation, any participant whose behavior would endanger their own safety or that of others, or would seriously disrupt the smooth running of the Event.

 

Article 15 — Accommodation

15.1 Accommodation is operated by third-party providers. Their internal regulations apply and are binding on participants.

15.2 Arrival and departure times are communicated before the Event and must be respected.

15.3 In the NATURE package, a bank imprint is required on site as a security deposit for the accommodation and is returned upon departure, subject to the condition of the property. Bed linen is not provided.

15.4 In the ENJOY package, bed linen is provided and no deposit is required.

15.5 The accommodations must be vacated clean and empty of their occupants at the times indicated by the third-party service providers. Any damage observed will be the responsibility of the occupants.

15.6 As accommodations are shared, each participant agrees to respect the peace and quiet and personal belongings of the other occupants. Any damage observed will be charged to the occupants of the accommodation in question.

 

Article 16 — Modification or cancellation by the Organizer

16.1 The Organizer may modify the program, schedule, speakers, or allocation of spaces for logistical, weather-related, or safety reasons. Participants will be informed as soon as possible. These modifications do not entitle participants to a refund as long as the overall cost of the event is maintained.

16.2 In the event of total cancellation of the Event by the Organizer, all sums paid will be refunded, or converted into a credit for the next edition at the participant's choice. No additional compensation is due.

16.3 In the event of force majeure as defined in Article 1218 of the Civil Code, or of an administrative decision making the Event impossible, the Organizer shall reimburse the sums paid less any costs already incurred and which cannot be recovered, upon justification, or offer a credit note of an amount equivalent to the sums paid.

 

Article 17 — Right to one's image

17.1 The Event is subject to photographic and video recording intended for the Organizer's communication.

17.2 Each participant authorizes the Organizer to use their image in this context, on all media, for a period of 10 years from the Event, free of charge and non-exclusively.

17.3 This authorization may be refused or withdrawn at any time by simple written request addressed to mathieu@aquitainefitnessparty.fr, without having to justify the request.

17.4 For minor participants, authorization is given by the holder(s) of parental authority.

 

Article 18 — Personal Data

The data collected during the booking process is processed by the Organizer, the data controller, under the conditions detailed in the privacy policy accessible on the Event website.

Each person has the right to access, rectify, erase, limit, object to, and transfer their personal data, as well as the right to lodge a complaint with the CNIL (French Data Protection Authority). These rights can be exercised by contacting mathieu@aquitainefitnessparty.fr.

 

Article 19 — Complaints and Mediation

19.1 Any complaint must be addressed to the Organizer in writing at mathieu@aquitainefitnessparty.fr, who undertakes to respond within thirty days.

19.2 In accordance with Articles L.612-1 et seq. of the Consumer Code, the participating consumer may use the following consumer mediation service free of charge: [name, address and website of the mediator].

 

Article 20 — Applicable Law and Jurisdiction

20.1 These conditions are governed by French law.

20.2 In the event of a dispute, the parties shall endeavor to find an amicable solution, if necessary through mediation as provided for in Article 19. Failing this, the dispute shall be brought before the competent courts in accordance with the rules of ordinary law. The consumer may, at their discretion, bring the matter before the court of the place where they resided at the time the contract was concluded or the harmful event occurred.

 

Article 21 — General Provisions

21.1 If any provision of this agreement is declared invalid or unenforceable, the remaining provisions shall remain in full force and effect.

21.2 The Organizer reserves the right to modify these conditions. The conditions applicable to a booking are those in effect on the day of its registration.
